How to Create and Customise an Invoice
Learn how to create and send invoices with Hello Invoice.
Invoices let you charge customers for the products or services you provide. Simply add the details to an invoice and email it directly to your customer.
Create a New Invoice
Step-by-step instructions for creating a brand new invoice from scratch.
- Go to the Create Invoice screen.
- Select a customer from the Select customer ▼ dropdown, or create a new customer by clicking the Add New Customer button from within the dropdown.
- Select a customer from the dropdown, or click Add New Customer (within the dropdown) to create one. Confirm their name and email. Click View/Edit on the customer card to see full details.
- Set the Invoice date and Payment due date.
- Add products or services:
- Select from saved items, or type a new description and price.
- You don’t need to use the dropdown for each item—just type freely.
- To save a reusable item, choose Create Line Item from the dropdown.
- Enter quantity and price for each line. Use Qty for multiples or hourly/daily rates.
- Apply taxes to line items or the total. Select a tax rate, amounts are calculated automatically.
- Add Payment details: Use a saved details or enter a custom one.
- Include a thank-you message: Type your own or select a saved message.
- Add external links if needed (e.g. to completed work or supporting info).
- Enable Stripe payments from the side menu if set up.
- Click Save as Draft to keep it for later, or Click Save & Send to email it now and follow the prompts.
Preview Before Sending
Before saving or sending an invoice, click Preview to see the email and PDF your customer will receive. This gives you a clear view of exactly what they’ll see before you send it.
What Your Customer Receives
Once you send an invoice, your customer will receive an email with all the key details. This includes your payment information, a Pay Now button (if Stripe payments are enabled), and a PDF copy of the invoice as an attachment. Everything they need to review and pay the invoice is included in one email.
